JOB PURPOSE
- To ensure the smooth and efficient running of the office, its programmes and equipment and provide support to region-wide activities.
- The Administration Officer will take a lead in communications, office management and organising meetings and conferences but will have opportunities to be involved in other activities according to their interest and abilities.
REPORTING LINES
The Administration Officer will report to the Operations Manager (OM).
KEY RESPONSIBILITIES
Work patterns are not defined in detail but will be elaborated in discussions when the new Operations Manager takes up their post. .
▪ Cooperate fully with the Operations Manager in the establishment of new systems for the organisation
▪ Promote and facilitate the dissemination of information between the head office and the various offices on matters related to administration and logistics
▪ Organise the office (diary, files, telephone and email, etc.) and act as the first point of contact for visitors, partners, general enquiries
▪ Maintain a calendar of scheduled events including staff movements, conferences, meetings, etc. and an up-to-date list of all staff and consultants
▪ Help to organise meetings and conferences and provide logistical support for staff travel, etc.
▪ Create and/or maintain an effective and up-to-date filing system
▪ Maintain relevant data bases
▪ Provide general administrative support to the OM and the ED , including preparation and dissemination of documents. Assist other Bangkok based staff when required and when other tasks make this possible.
▪ Ensure all office equipment is in working order
PERSON SPECIFICATION
Essential
▪ Proven excellent organisational skills; successful candidates are likely to have at least 5 years experience of running an office.
▪ Ability to take initiative and manage and prioritise a large volume of complex tasks, working to tight deadlines with limited supervision.
▪ Excellent communication skills and a persuasive personality.
▪ Strong written and oral communications skills in English
▪ Strong written and oral communication skills in Thai.
▪ Strong IT skills, including a good knowledge Word, Excel and Powerpoint.
▪ Capacity to interact effectively with a wide range of people at different levels including donors, NGOs, social movements and government officials
▪ Ability to work in a multicultural setting
▪ A high level of integrity and ability to act discreetly and maintain confidentiality
▪ Energy, flexibility and resilience
▪ Proven commitment to social justice and sympathy with Focus’ vision and goals
Desirable
▪ Broad understanding of development issues and Focus areas of interest
▪ Experience of working with international teams or advocacy groups
▪ Experience in planning and managing small projects
TERMS AND CONDITIONS OF EMPLOYMENT
This post is offered initially on a 2 year contract.
Salary Range: 30,000 – 45,000 per month, depending on skills and experience

Relocation allowance (for staff plus primary partner relocation to Thailand from another country): roundtrip travel for every 2 year period; freight shipment cost up to a maximum Bht 50,000 or equivalent; monthly housing allowance of Bht 3,500 – 7,000
